Why we built the first AI-native catering software

We didn't set out to build another catering management system. We set out to answer a phone that never stops ringing at the worst possible moment. Here's the story, and what "AI-native" actually means to us.

The first time we shadowed a caterer for a full Friday, we stopped counting the phone calls at eleven. Not because they stopped — because both of our hands were holding a chafing rack.

That day rearranged how we thought about catering software. The owner we were with had a system of record. Her events were in it. Her invoices were in it. And none of it mattered at 4pm, elbow-deep in a build-out, when the phone rang with what turned out to be a 120-guest corporate contract — and stopped ringing before anyone could get to it.

The problem was never record-keeping

Catering software has existed for decades, and much of it is genuinely good at what it does: proposals, BEOs, costing, calendars. But every one of those tools shares an assumption so old nobody questions it — a person sits at the keyboard and drives.

The caterers we spent time with didn't have that person. The owner was the salesperson, the quoter, the scheduler, the collections department, and the one packing the van. Software that faithfully records your work doesn't help much when the actual bottleneck is doing the work.

So we started from the other end

Instead of asking "what should the owner be able to enter?", we asked "what should the owner never have to do again?" The answers became our agents:

  • The call that comes in during prep? Answered on the first ring — by an AI receptionist that knows your menu, quotes real prices, checks your real calendar, and books the date.
  • The deposit that used to take three follow-up texts? Collected on the call, or by a payment link before the caller hangs up.
  • The crew for Saturday? Filled from your event templates, matched on skills and availability, confirmed by SMS.
  • The "where's my food?" call on event day? It doesn't come — the client already has a live tracking link.

That's what we mean when we say Cater Connection is AI-native. It isn't a form-based system with a chatbot bolted on. The agents are the product; the software underneath exists so you can see everything they did and stay in control.

Built with caterers, not just for them

We're software people — we won't pretend otherwise. What we did do is build every workflow alongside working caterers: the prep rush, the Saturday triple-header, the 9pm quote that decides whether the month is good. When a feature didn't survive contact with a real kitchen, it didn't ship. That's still how we work today.
