The math on never missing a catering call

Grab last month's phone log and do this exercise with us. Ten minutes of arithmetic usually explains more about a slow month than any marketing report — and shows what answering every call is actually worth.

Here's an exercise we walk every caterer through on a first demo. It takes ten minutes, it only needs your phone log, and it's usually the moment the room goes quiet.

Step 1: count the calls you didn't take

Open last month's call history on your business line. Count the inbound calls that went to voicemail or rang out. Don't estimate — count. When owners do this for the first time, the number is almost always higher than they guessed, because the misses cluster exactly when you're busiest and least likely to remember them.

Step 2: put a value on one booking

Take your average catering order — not your biggest wedding, your average. Now be brutally conservative about the rest: assume only some of those missed calls were genuine inquiries, and that you'd have closed only a fraction of those. Run it as an example: if you missed 15 calls, and even a third were real inquiries, and you close half of those you quote — that's two or three orders that never got the chance to happen. Multiply by your average order and look at the number. That's per month. Nobody feels it, because a phone that stopped ringing doesn't show up on any report.

Missed revenue is invisible. It never appears as a line item — it just looks like a slow month.

Step 3: add the time you spend being a receptionist

Now the other side of the ledger: the calls you did take. Every one interrupted something — prep, a delivery, dinner with your family. Add the quote you assembled at 11pm, the deposit you chased across three texts, the back-and-forth to confirm a headcount. For most owner-operators this is hours every week of unpaid receptionist work, done at the exact moments the business needs their hands elsewhere.
